With management OK, fill out the Notice of Intent
to Develop an Intranet Sub-Site and set up a meeting with Greg Guth (214.456.3886) to discuss your plans
for a Web site. Before the meeting:
- Appoint a team. It may be a "team" of one, but whether handled by one person or spread among several, job duties would include: a project manager who can motivate the team and coordinate all the pieces of the project, who understands the purpose of the Intranet site and is comfortable interacting with senior management.
The content manager is the owner of the site. This person works with other team members to write, edit, build and publish the Intranet sub-site. These responsibilities don't end when the sub-site is launched. The project manager ensures that a steady flow of new content is published and that out-dated information is deleted or archived. If you are a team of one, recruit others to help with writing and updating content.
NOTE: Outside consultants can be used to develop the intranet sub-site. This is strictly a department and/or management decision. Contact Greg Guth (214.456.3886) to compare your needs to the capabilities of the Children's IS department. If the decision is made to use an outside resource, vendors should be provided with a copy of Intranet Policies.
- Hold a team meeting and go over your business plan. Discuss again your audience and the type of information you plan to put on the sub-site. Revise your plans if necessary. Decide if the information on your sub-site:
- Is applicable to a broad Children's audience, worldwide
- Is applicable within a single geographic region
- Is related to a single topic intended for a specialized audience
This will be used to determine where your information will fit in the intranet's Information Architecture or topic areas.
- Prepare a high-level site map of how you plan to organize your information. It can be very general. Think in terms of levels.
- Level 1 is the index page with the main buttons. Think of it as the table of contents.
- Level 2 has pages of content that support the Level 1 and an index of documents to further drill-down.
At the first meeting with Information Services, the site map can be very basic.
If the site map is approved, Information Services will discuss with you where it will fit in the information architecture -- or topic area -- of the intranet. You will be referred to the intranet pages on Inside Children's Design Template, Using the Children's Logo and Logos or contact Douglas DoNascimento 214.456.5311.
The contact person should be in touch with Information Services on a regular
basis. Greg Guth is available to answer questions at any time during your sub-site project.
Below are specific check points when IS approvals are needed:
- Site map (at conception)
- Initial page designs with graphics or placeholders in position
- Constructed HTML pages with all graphics in place (back-end functionality does not have to be complete)
- Two weeks before expected launch Information Services will review completed pages with all functionality, links and final site map. All pages, including error message pages, will be reviewed. The site should be able to meet the criteria outlined in Can Your Site Pass This Test?
